Free Remote Work Focus Planner
Build a more focused workday with our free Remote Work Focus Planner. Instead of trying to fit deep work, meetings, emails, and breaks into your day at random, this tool helps you create a personalized schedule based on how you actually work.
Input your working hours, the meetings you have, your preferred time for focusing, your deep work objectives, details about your work environment, and how easily you are distracted.
The planner will then use the answers you give it to produce a suggested daily focus plan.
How Does the Remote Work Focus Planner Work?
The tool asks a few simple questions about your workday:
1. Input Your Working Hours
You can select both the time you start and the time you finish work; this provides the planner with the available time it can use when preparing your schedule.
2. Add Your Meetings
State the number of meetings you have each day. Since meetings are likely to disturb your schedule, the planner takes them into account when suggesting suitable times for your focus sessions.
3. Select your best focus hours
Which of the three—morning, afternoon, or evening—is your period of greater concentration?
This answer enables the planner to prioritize deep work during the part of the day when you are most productive; if you aren’t certain, just choose ‘I’m not sure,’ and the tool will produce a balanced schedule.
4. Set Your Deep Work Goal
Decide what you want to achieve with your deep work. Be specific. For example, you might aim to write a chapter of your book or finish a coding project. A clear goal helps you stay focused and measure your progress.
Decide on the amount of deep work you want to do during the day.
For instance, on one day you could set a goal of carrying out one or two hours of concentrated work, while on another day you might have more time available for longer deep-work sessions. The planner then uses that goal to recommend places where those sessions could be scheduled.
5. Choose Your Work Environment
The place where you work can affect the kind of distractions you encounter; for example, working from home might bring about interruptions from around the house, whereas working in a café or a coworking space could mean dealing with more background noise.
The planner will be able to give suggestions that are more in line with your circumstances since you choose your work environment.
6. Tell Us How Easily You Get Distracted
Finally, choose how easily you usually get distracted. Someone who gets distracted very easily may benefit from shorter focus sessions and more structured breaks, while someone who rarely gets distracted may prefer longer uninterrupted work blocks.
Your Suggested Remote Work Schedule
After clicking “Generate My Focus Plan,” the tool creates a personalized schedule for your workday.
Your schedule may include:
- Deep work sessions for your most important tasks
- Short breaks between longer periods of concentration
- Meeting time
- Lunch or longer recovery breaks
- Email and administrative tasks
- Planning time for the rest of your workday
Example of a Personalized Focus Plan
A remote worker who works from 9:00 AM to 5:00 PM, prefers to focus in the morning, has two hours of deep work as a goal, and gets distracted sometimes might receive a schedule like this:
09:00–10:30 — Deep Work
Begin with the task that is most important for you and make sure that this time is not disturbed by unessential interruptions.
10:30–10:45 — Short Break
Take a step away from what you’re doing and allow yourself some time to reset.
10:45–11:30 — Meeting or Collaborative Work
11:30–12:30 — Deep Work
Carry on with an important task by using a different focused block.
12:30–13:15 — Lunch Break
13:15–14:00 — Email and Administrative Tasks
14:00–15:00 — Meetings or Collaborative Work
15:00–15:15 — Short Break
15:15–16:30 — Lighter Tasks and Planning
The specific schedule will vary according to the responses you give. The aim is not to produce a perfect routine, but to provide you with a realistic basis for arranging the time you have.
Use the Planner to Protect Your Deep Work Time
A major difficulty associated with working from home is that the flexibility offered doesn’t in itself lead to increased concentration. If there is no well-defined routine, meetings, messages, notifications, and lesser tasks can slowly take over the whole day.
This Remote Work Focus Planner helps you start with the opposite approach: first think about when you want to protect time for meaningful work, then organize the rest of your day around the time you have available.
Your suggested schedule is not something you have to follow perfectly. Think of it as a flexible plan that you can adjust to your workload, energy levels, and unexpected changes.
